Returns analysis with COSYS
Every return costs your company real money and is associated with expenses. It doesn´t matter whether the return is due to damaged goods or incorrectly delivered items, because the returns process remains the same. In order not to lose any competitive advantage, but to strengthen your position in the market, a returns analysis is of great importance. With a returns analysis, you analyze every aspect of your returns in order to find and eliminate problems and sources of errors and thus also improve your company´s returns rate. Also, a thorough analysis of your returns will give you a better overview of the cost development in returns management.
To successfully start a returns analysis, information about all returns is required. For this purpose, COSYS MDE software for returns is used to obtain process and returns data. By mobile data capture during the incoming goods inspection, return, delivery bill and invoice numbers of the returns are recorded. This makes it possible to quickly and easily document initial information about the returns.
Thanks to an ERP connection, information about the customer, such as name, customer number and address, can be obtained from the delivery bill or invoice, as well as the items of the order. The reason for the return can also be stored directly in the goods using predefined comments in the PDC software. Since the entire returns process from goods receipt, storage to the inspection of the returned goods for saleability is accompanied by MDE devices and smartphones, COSYS can present the entire returns processing digitally with dashboards. All recorded returns data is analyzed and provided in the COSYS WebDesk, the data managing data analytics backend. This gives you an overview of all information on returns and allows you to quickly identify correlations between reason and item.
Returns reasons
Before the returns analysis, the return reasons must be determined. Here it is important to understand the customer and his actions, because on the basis of the gained understanding the optimal returns strategy can be created, which contributes purposefully to the reduction of the returns rate.
In the past, the most frequent reason customers gave for returning goods was that they did not like the item they ordered or that it did not fit. Customers often anticipate returns before placing an order and therefore order several variants of an item in order to return the goods that do not fit later. Many customers also gave defects or damage to the goods as a reason for return. Incorrect orders or product features that were not expected are also considered the most frequent return reasons.
Important returns reasons can be stored in COSYS Returns Management and later assigned to a return.
Returns strategies
With the right returns strategies, you can create efficient measures for handling returns and optimize your customer service. It is particularly important to optimize both the processes before the goods are shipped and the processes after the return.
Before the goods are shipped, the logistical order processing must be changed with the right strategy to avoid long order processing times and delivery times. This way, one of the most common return reasons can be preemptively eliminated. COSYS picking software helps you to follow this returns strategy by digitizing picking and shipping completion through MDE devices. Thanks to COSYS intelligent picking software, warehouse employees have all relevant information at hand and can process customer orders quickly and reliably. Thanks to route optimization, orders are picked along the shortest route.
In the event of a return, COSYS Returns Management offers additional returns strategies that help in the processing of returns. For example, COSYS software helps with RMA handling by recording and documenting returns as soon as the goods are received. For each return order, the employee scans the corresponding items and checks whether the returned goods are still saleable. The goods are then posted to the appropriate storage bin. In this way, COSYS ensures that you handle your returns economically and efficiently.
Returns warehouse process
The user calls up a returns order. After scanning the item barcode, the item opens for processing. First, the quantity is recorded. Then the employee checks whether the goods are still saleable.
If the goods are ready for sale, they can be booked into a storage bin. There are different possibilities here. Either the goods are booked directly to the desired storage bin or a "standard return bin" is selected, from which there can be various subsequent processes. Either one uses the stock transfer or the store exchange. For example, the items can be booked to an outlet.
For example, if the goods are not saleable, they can be assigned to the "Defective goods" bin so that they can be removed from the system.
It is also possible to specify a reason for the return. This reason can then be transmitted to purchasing or sales via an e-mail. In this way, new orders can be created for new deliveries, which can then be processed in picking. By specifying the reason, you also get an overview of which items are often returned and why. Possibly some do not correspond to the quality and should be removed from the assortment.
Once all items have been entered, the return process ends.

COSYS Returns Management supports you in making complex returns processes more efficient and easier. Mobile COSYS software for MDE devices and Android and iOS smartphones ensures fast documentation of customer complaints and returns thanks to barcode scanning and photo capture. Flexibly configurable modules help to adapt the returns process to the circumstances of your company and to create a customized solution.
Return selection
First, select a return order in the MDE software by tapping on an order and then going to the "Select" button.
In the table shown you will see the order number, the steps and a description.
Red marked orders are not yet processed, whileorange marked orders are marked as being in process.
You can search for an order using the Order number field and find the required step of the order in the Step field.
If you need to reset a return order to the unprocessed status, tap the "Reset" button.
Return position processing
The interface for editing your selected position will appear.
Scan an item in the yellow item field and it will appear in the list at the bottom of the screen.
After you scan the items, item information such as item text and price will be output, the total of scanned items will be counted, and the total amount of items available will be displayed.
The quantity can be edited if it has been preset in the order preset data.
To prevent quantities from being changed, the quantity field is write-protected and the entered items are saved with the standardized quantity 1.
If you want to view all recorded return items, tap the "List" button to get a detailed overview of all recorded items.
If you want to complete the return tap on "Transfer" to transfer the entered data to the COSYS Returns Management in the COSYS WebDesk.
Return list
In the List view you can remove entries from your list by tapping the Delete button and confirming with Yes.
COSYS WebDesk - Returns Management
The COSYS WebDesk is the data managing backend of the COSYS Returns Management and displays your RMA handling clearly in dashboards and tables. Since the COSYS WebDesk is browser-based, you can easily access it via an internet browser and start managing all returns. A user-friendly interface is reminiscent of classic desktop PCs and allows for quick familiarization and uncomplicated work. In the WebDesk you have the possibility to edit and manage master data and recorded transaction data, as well as to distribute user roles and user rights. Thus, the COSYS WebDesk is the logical complement to the MDE software.
Returns overview
In the COSYS WebDesk, you can use the Returns module to gain a precise insight into your current returns cases. In a tabular display you can see all previously recorded and open returns cases that were recorded by your returns service department in the goods receipt. For more precise tracking of returns, each case is assigned a unique ID. Search and filter functions facilitate the search for specific returns.
Return positions overview
Under Returns items you have a detailed overview of all returned items that have been entered in the goods receipt. Each item is assigned to a returns ID to enable easy processing of the return. In addition to the EAN and article number of the returned items, the item text is also displayed in COSYS WebDesk. The corresponding reasons for the return are also listed in the returns management. This enables employees in returns management to eliminate potential sources of error more quickly and precisely, as it quickly becomes apparent at which points and for which products there are difficulties. Numerous filter and search functions facilitate the search for specific articles or customer returns.
