Structure COSYS Software
COSYS software consists of two parts: a mobile application for MDE devices (Android and iOS) and the COSYS backend that backs up data. The backend is available on premise on your server or in a cloud as aSoftware as a Service. The certified cloud solution has several advantages over on premise. On the one hand, the data can be accessed from any location via a browser. On the other hand, COSYS takes care of data maintenance, which saves you IT effort and protects you against data loss.
With themobile application you record live goods movements such as stock transfers and deliveries, trigger mobile orders and have an overview of your stocks. COSYS has developed modules for each flow of goods. Thus, you control all goods receipts in the module Goods Receipt, all returns in the module Returns and so on. We adapt the masks and fields in the modules to your processes with little effort, so that your employees find COSYS App useful and accept it quickly. All modules are based on barcode recognition, for example of article numbers, EAN, VPE or NVE.
The COSYSBackend stores all mobile recorded data. Our user interface "COSYS WebDesk" displays the stored data in tabular form. Filter fields enable a targeted search for item data or inventories, and you can design your ideal view for the back office by showing, hiding and moving the columns. You have master data, users and user rights and can therefore use WebDesk as a stand-alone solution.
Should you have aERP system We use interfaces to connect the ERP systems that contain customers, master data and inventories. COSYS interfaces help to exchange data between ERP systems and COSYS software. This data exchange makes that COSYS software receives all master and customer data, while the ERP is up to date regarding the flow of goods. Many of our customers see the COSYS WebDesk as an optimal complement to the ERP system.
Point of sale for florists
COSYS software for the point of sale has in the standardeleven modules: item information, stock inquiry, order, stock transfer, return, stock change, inventory, surveys, price change, price labeling and goods receipt. Which modules you choose is up to you. In any case, COSYS offers synchronization between the mobile software and your POS or ERP system.
Each module uses barcodes to record new goods movements or display item information. For example, employees use the Inventory Information module to look up what stock an item has, both across locations and across stores. To do this, the
employee enters the Point of Sale app, opens the Inventory Information module, and scans an item number or EAN. Barcode capture ensures error-free and fast work.
ThePOS Softwareis the opportunity to score points with the customer. Correct information, short waiting times and fast processing ensure satisfaction. In addition, tedious tasks, such as labeling discounts, become short activities in between: The employee opens the Price Change module, scans the EAN, enters the new sales price and the affected quantity. TheSoftware sends the data to a label printer and the new labeling is ready.

Warehouse management
COSYS software solutions for warehouse management differ in their scope. OneWholesale with several outdoor and indoor areas, cold stores, dark stores or greenhouses has different demands on warehouse management than small retailers. Reusable flower buckets are stacked on CC Containers, booked through receiving, put away with ants, transferred, picked and retrieved. If there are still returns and you manage CC Containers, a complex warehouse management is reached. On the one hand, the modular structure of COSYS software allows you to digitize processes of your choice. On the other hand, the flexible framework allows modules to be used one after the other. Start with goods receipt. When the first step has been taken, expand the software to include order picking, then add stock transfer and finally returns. This way, you give employees time to get used to the new way of working.
TheSubtleties we clarify in a free presentation of our software. Do you work with an ERP system? Do you need a free entry for unknown articles? Should reasons for deviating quantities be defined and what do these reasons look like? Our sales department listens to your point of view and we transfer your wishes into our software. Where to put all the data? To view and evaluate the collected data, use theCOSYS WebDesk. The WebDesk is a web interface similar to a Windows desktop. Once you know your data, such as average duration of storage or turnaround times of flowers and plants, you can identify and fix weaknesses. The WebDesk provides the foundation to improve your warehouse management.
In the Warehouse management area, WebDesk has three modules: Master data, Administration and Inventory management. In the Master Data module, you create items and customers. The module takes a back seat if you already maintain the master data in another system. Then we create a data exchange and take over your master data. In the Administration module you have users, create logins and assign rights. The rights include, for example, that employees in goods receipt are only allowed to operate the goods receipt module, while the warehouse foreman sees all modules and is allowed to delete items. The Inventory Management module shows all stocks, orders, contracts and goods flows, including statuses such as "open", "finished", "shortage", etc.
Delivery Software in Flower Wholesale
Do you deliver yourself? Perhaps you have your own fleet of vehicles? Set up with COSYSDelivery Software ensure that the loaded CC Containers arrive at the customer´s premises on time and correctly. For a seamless track and trace, you record both the loading and the delivery via barcode scans. In both processes, you can also optionally record loading equipment such as CC Containers and flower buckets via a drop-down field.
For theLoading the driver enters a tour on the MDE device and sees the corresponding delivery bills and positions. If your CC Containers are labeled, a scan of the rack is enough to record the entire load as loaded. Alternatively, the driver scans the flower buckets. Thesequence of delivery is taken into account by COSYS Delivery Software by showing customers who are first in the tour last and vice versa. If there is an incorrect load or quantity, Delivery Software warns the driver via an error message.
Once at the customer´s site, the driver opens the sales order on the MDE device and scans the displayed items. An automatic TARGET/ACTUAL comparison ensures a properOutsourcing. Finally, the customer signs on the MDE device to confirm receipt. Some COSYS customers also use the photo function of the delivery software to document depot deliveries, for example.
For the back office, you use the COSYS WebDesk, which contains all shipment statuses. Reports or e-mail dispatch in the case of defined shipment statuses ensure a well-rounded flow of information. We also send the data of customer deliveries to ERP or tour systems via interfaces.
Manage CC Containers
Florists and flower stores issue their goods via CC Containers, some of which are supplied by the wholesaler on loan. If you already track your plants and flowers, but not the CC Containers and flower buckets, do it withCOSYS Load Management.
The loss of containers is expensive and leads to bottlenecks in further customer deliveries. POS - Inventory request
You want to know how much stock an item has? In the Inventory Inquiry module, you can find out the current stock level with just one scan of the article numbers or EAN. The module distinguishes between store overview and location overview. In the store overview you can see the stock in the initially selected store, divided into storage area and sales area. The location overview shows the stock per location, subdivided into branch.
POS - Price change
If a bouquet of flowers is about to wilt, you scan the label, enter a new sales price and the quantity of labels to be printed, and wait for the connected label printer to output the new price according to your layout. The data is transferred to your POS or ERP system as needed.
Mobile Sales - Order Type
When you are at a customer´s site, you first select the order type. In the standard version, the module distinguishes between the order types purchase order, delivery bill, return, market return and sample order. A new order is created quickly and easily via digital input and the data is automatically transferred to the ERP system.
Warehouse - goods receipt
COSYS software can free goods receipt and against order. In the case of a free goods receipt, the employee scans the delivered goods, enters the quantity and, if necessary, a delivery note number. Damages are documented by photos and comments. In the case of an expected order, the employee first enters the order, then sees the contained items including quantity and scans them against. If there are discrepancies, the software requests a reason via drop-down. Live communication with ERP systems is possible.
Warehouse - Storage
If goods receipt and putaway are separate processes, we map this via the putaway module. The employee scans a posted item and sees the storage bins on the PDC device where the item is already located. Arriving at the storage location, he scans the storage bin for the item or selects it via drop-down. He completes the storage process by clicking "OK".
Warehouse - Picking
To pick goods for the customer, the employee enters the sales order. He selects the order via double-tapping or a search field. The warehouse supervisor can also store priorities for picking orders in the backend or assign orders directly to an employee. After selecting the order, the software shows the employee the corresponding items. Many of our customers have the items sorted by storage location, so that the walking distances are optimally short.
Delivery - Loading
If the goods are ready for transport, the driver opens the "Tours" module and opens his tour. The software shows him all orders or delivery bills for the tour. When he enters one or more orders, the software sorts the items so that the driver loads the load for the last customer first and the load for the first customer last. Error messages alert the employee to missing quantities.
Delivery - Delivery
When the driver delivers CC Container including cargo to the customer, the driver first selects the customer of the tour. The customer selection is done via search fields or sorting by tour stops. Then the driver scans the ordered plants and finally has the customer sign on the MDE device. A photo function for depot deliveries is also possible.
Inventory
In the Inventory module you record your stocks. Scan the counting place, the article number or EAN and type in the counted quantity. The two lists "Counting place list" and "Item list" give you an overview of the entered items. Deleted articles are marked in red to ensure complete documentation for yourself and the auditor.
FAQs in flower wholesale / flower store
Working without barcodes is possible, but not recommended. The variant with the least effort and price are pre-printed labels, which you can purchase from COSYS. Alternatively, we offer label printers for purchase or leasing.
Yes. COSYS can configure the software to also capture RFID labels such as CC TAG5.
Basically yes. Typical offline processes are inventory taking, delivery to customers or mobile drive-in sales. However, some processes require a connection, such as loading and picking.
For most ERP systems we can provide data exchange between ERP system and COSYS software. The possibilities range from simple imports and exports, to file exchange tables to file interfaces .
We do not have flat prices, because about 20% of the standard solution is still specially adapted to the customer. In addition, the price depends on how many users the software has, whether you also purchase hardware from us and whether after-sales services such as maintenance contracts are desired.
