The COSYS WebDesk is your tool for tobacco tracking. The WebDesk is a browser-based data processing and management software that helps you with tobacco track and trace by displaying all tracking IDs and their tracking status. With COSYS WebDesk, you therefore always have an immediate overview of all reportable tobacco products and their movements and are thus always best prepared for official controls. In addition, the WebDesk is used to administer the COSYS Track and Trace system and to apply for new TrackingIDs.
Article tracking
In the Article tracking module, the tracking of your tobacco products is done by displaying each tracking ID including the last status. With Article tracking you have a list of all included tracking numbers and their usage. Under details all tracking code information as well as the complete tracking history can be retrieved. The recording times of the documented goods movements are precisely recorded and documented for this purpose thanks to Timestamp. You also have the function to book the next goods movement. Under Request tracking ID you fill out an application to request tracking IDs from the central EU database (the status of the application is visible to you).
Dispatch Tracking
In the WebDesk module Dispatch you have an overview of all tobacco products that have been prepared for dispatch / delivery. You can call up all the important information on a tracking number and view the destination reference number and destination address. Also stored here are all reportable tracking data such as time and location of the provision as well as the items contained therein.
Manage master data
In the COSYS WebDesk module Master Data you maintain and manage your master data on vehicles, customers, branches, economic operators and more. For example, you maintain the vehicles in your fleet by creating them with a unique license plate number and a vehicle description. You also manage your customers with address, contact person and FacilityID or create important information about the customer.
FAQ about Track and Trace Tobacco solution
TPD2 is an abbreviation for Tobacco Product Directive. The TPD2 is the second EU directive that aims to regulate the sale of tobacco products within the European area. In addition to cigarettes, cigars, e-cigarettes and liquids are also regulated by the TPD. One of the most important requirements of TPD2 is the traceability of cigarettes and cigars.
The TPD2 was adopted by the EU in May 2014 and implemented in Germany in the Tobacco Products Act after a two-year implementation period. Since May 20, 2016, the TPD2 has thus been implemented in German law. Since May 2019, it is mandatory for companies in the tobacco industry to have a tobacco track and trace system to trace cigarettes and cigars.
The biggest challenge of the TPD is to track and report all movements and financial flows of tobacco products to the EU. A tobacco track and trace system can overcome this challenge by capturing goods movements through barcode scanning. The transmission of the track and trace data to the EU also proves to be complicated, which is why an interface to the EU repository is required.
Track and trace tobacco refers to the tracing of tobacco products such as cigarettes or cigars within the framework of the EU TPD2 regulation. With Track and Trace Tobacco, all goods movements and financial flows are tracked with a Track and Trace system to make them traceable for economic operators and the competent authorities. Track and Trace Tobacco is mandatory for all manufacturers, wholesalers, cash & carry markets and vending machine operators, except for the last points of sale to the end customer. With Track and Trace Tobacco, all important events are thus tracked, such as production, goods receipt, aggregation into larger or smaller packaging units, or goods issue and subsequent transport.
Track and Trace compliant goods such as cigarettes or cigars will be marked with 2D codes (Unique Identifier) since May 20, 2020. These 2D codes can be classic DataMatrix codes or dot codes. The most important aspect of the marking is that the 2D code is visibly affixed to the packaging, either by printing it on the cigarette pack or by means of a stick-on label.
A Track & Trace number is a unique identification number used to identify tobacco products. Track & Trace numbers are specified by the EU or, in Germany, by the Bundesdruckerei and must be used by players in the tobacco industry. The track and trace number ensures that products are traceable, thereby guaranteeing the authenticity of tobacco products.
